2. What Personal Data We Collect and Why
2.1 Membership Data
When you join PME, we collect your name, email address, institutional affiliation, and country of residence. Legal basis: Performance of contract (membership agreement). Retention: Duration of membership plus 3 years.
2.2 Conference Registration
Conference registration is handled via ConfTool (conftool.com/pme). Please refer to ConfTool’s own privacy policy for data processed through that system. PME receives confirmation data (name, affiliation, registration status) for organising purposes only. Legal basis: Performance of contract. Retention: 7 years (charitable financial records requirement).
2.3 Newsletter and Mailing List
If you subscribe to the PME newsletter or mailing list, we store your email address in our newsletter system (listmonk, self-hosted in the United Kingdom). Legal basis: Consent (explicit opt-in). You can unsubscribe at any time via the link in every email. Retention: Until you unsubscribe.
2.4 Website Contact Forms
Messages sent via the Contact page are forwarded to the Administrative Manager at info@igpme.org. We do not store form submissions in the database beyond what appears in email. Legal basis: Legitimate interests (responding to enquiries). Retention: Up to 2 years in email.
2.5 Website Server Logs
Our server (hosted in Manchester, United Kingdom) automatically records standard web server logs including IP address, browser type, referring URL, and pages visited. This data is used solely for security and technical maintenance. Legal basis: Legitimate interests. Retention: 30 days.
2.6 Board and Staff Collaboration (Nextcloud)
Elected Board of Trustees members and PME staff use our self-hosted Nextcloud instance (hosted in the United Kingdom) for document collaboration. Data processed: name, email, uploaded documents. Legal basis: Legitimate interests / contractual necessity. Retention: Duration of role plus 1 year.
3. Sharing of Personal Data
We do not sell or share your personal data with third parties for commercial purposes. Data may be shared with:
- ConfTool — for conference management (their own privacy policy applies)
- Hostinger (UK) — our hosting provider, acting as a data processor; infrastructure access only
- UK authorities — if required by law, court order, or the Charity Commission
4. International Data Transfers
All PME data is stored and processed in the United Kingdom. ConfTool operates from Germany (EU adequacy status). We do not transfer your data to countries without adequate data protection standards.
5. Your Rights Under UK GDPR
Under UK data protection law you have the right to: access your personal data; rectify inaccurate data; erase your data where no legal obligation requires retention; restrict processing; receive your data in portable format; object to processing based on legitimate interests; and withdraw consent at any time (for newsletter: use the unsubscribe link in any email).
